Each side private

One application.
Two private sides.

Candidates and hiring teams work on the same application. What each side keeps for itself never crosses over.

What a company sees

About a candidate who applied to it.

  • Her name and contact details
  • A copy of the profile she applied with, and its CV, as they were when she sent them
  • Her messages, interview picks and hand-ins for that job
  • A verified badge, if she verified her phone and email. Never an "unverified" label

What a company never sees

Even about its own applicants.

  • The name of her profile
  • Her private notes and to-dos
  • The labels she gives her CVs
  • Her applications to other companies

What a candidate never sees

The team's side of the same application.

  • Team notes and @mentions
  • Scorecards and interview feedback
  • The reasons for a decision, unless the team includes them in its message
  • Stars, which are shared inside the team only
  • Blocks, which are manual, reasoned and reversible
  • Other candidates, and the team's private DMs and groups

Roles and need-to-know

Everyone sees what they need.
Nothing more.

Every member of a company has one role: Owner, Admin, Recruiter or Interviewer. Access follows the work, not the title.

  • Need-to-know by defaultTeammates who aren't admins see only the jobs whose hiring team they're on, and the candidates they interview.
  • One role eachOwner above Admin above Recruiter above Interviewer, so it's always clear who can do what.
  • Exports are limited and loggedCSV exports are for owners and admins, and every one is recorded in the audit log.

Accounts

Signing in,
carefully.

Accounts are protected by a few small steps that add up. None of them asks much of you.

  • Email confirmationNew accounts confirm their email address before they can sign in.
  • Two-step sign-inAvailable to everyone, and owners can require it for their whole company, with a grace period to set it up.
  • New-device emailsSigning in from a device we haven't seen before sends you an email.
  • Password re-confirmationSensitive actions ask for your password again, even when you're already signed in.
  • Sign-in historyTeammates' sign-ins, and their failed attempts, are logged in the company's audit log.

Audit log

A record of
who opened what.

Every company has an audit log. When someone asks who looked at a candidate's CV, the answer is written down.

  • Every CV and file openedWho opened which CV or file, and when.
  • Team changesMembers added or removed, and roles changed.
  • ExportsInsights exports are recorded with who ran them.
  • Sign-insIncluding failed sign-ins by teammates.

Data and retention

Your data,
in your hands.

Candidates decide what happens to their data. Companies don't keep closed applications forever.

  • Export your dataCandidates can export their data from their settings.
  • Delete your accountCandidates can delete their account from their settings.
  • A retention period for closed applicationsEach company sets its own. When it passes, closed applications are deleted.
  • Your choice to stay on fileIf a candidate asks to be kept on file, a company keeps their closed application instead of deleting it.

Employers and guests

Real companies.
Guests with a key.

Jobs are public only when the company behind them is real, and a guest who joins an interview sees only that interview.

Employer verification

A company's jobs go public only after it proves it owns its website domain. It can add a DNS TXT record, confirm from a matching work-domain email, or be verified by Cortopus staff.

Guests: a link and a passcode

Someone outside Cortopus, like a colleague from another team, can join one interview with a link and a passcode. They see only that interview, never the rest of the application.

Does Cortopus have a security certification?

No. Cortopus is in development and doesn't hold a security certification, such as SOC 2 or ISO 27001, today. This page describes what each protection does, so you can judge it for yourself.

Can a company see my other applications?

No. A company sees what you sent it: your name and contact details, and a copy of the profile you applied with and its CV, as they were when you applied. Your profile's name, private notes, to-dos and CV labels, and your applications to other companies, stay yours.

Can a candidate see what my team thinks of them?

No. Team notes, scorecards, stars and blocks never reach a candidate. Reasons for a decision stay with the team too, unless the team chooses to include them in the message it sends.

What does Coral AI get to read?

Only the conversation or team note it's mentioned in. It has no tools and no access to private records, and its replies never count as a human reply to a candidate.

How do I export or delete my data?

Candidates can export their data and delete their account from their settings. Hiring teams have a retention period: closed applications are deleted after it passes, unless the candidate asked to be kept on file.

I think I found a security issue. What should I do?

Write to contact@cortopus.com with the details. Please give us a chance to fix it before sharing it publicly.
